FAQ: society Document Vault

What is Document Vault on Plinth? A private library where society admins store official records (bye-laws, minutes, financials, resolutions, certificates, contracts, insurance, SOPs) and control what residents can download.

Who uploads documents? Society admins from Admin → Documents (/admin/documents).

Who can browse documents? Residents with a claimed flat open Documents (/documents) and see only published files with members visibility.

What categories exist? byelaws, minutes, financials, resolutions, certificates, contracts, insurance, sop, and other.

What is the difference between visibility and publish? Visibility sets the audience (admins_only or members). Publish must be on for residents to see member-visible documents. Drafts can stay admins_only and unpublished while the committee reviews them.

How do residents download files? Plinth generates a 120-second signed URL to the private storage bucket — not a permanent public link.

What file types and sizes are supported? PDF, JPEG, PNG, WebP, Word (.docx), and Excel (.xlsx); maximum 25 MB per file.

Is there an audit trail? Yes — publish and visibility changes go through set_document_visibility and are written to the society audit log.

Can residents upload documents? No — upload and delete are admin-only. Residents browse and download published member-visible files.

How is this different from poll credential documents? Credential uploads for voting are tied to a specific poll and reviewed separately. Document Vault is for society-wide governance records.

How is this different from notices? Notices announce information; Document Vault stores full files (PDFs, scans) members retrieve on demand.
