Document Vault checklist

  • Confirm residents have claimed flats so they can access society features
  • Open Admin → Documents (/admin/documents)
  • Upload byelaws (registered copy) — visibility members, then publish
  • Upload latest approved minutes and financials members are entitled to see
  • Keep draft treasurer files admins_only and unpublished until the committee approves
  • Add insurance and key contracts (admins_only unless members should have copies)
  • Post a notice: "Official records are on Documents — not WhatsApp"
  • Share /documents with residents
  • Brief the new committee: publish via set_document_visibility so changes are audit-logged
  • Review file sizes (max 25 MB) and formats (PDF, images, Office docs) before bulk upload
