Admin: register an asset and create a maintenance schedule

Requires: Society admin role and the Asset maintenance module enabled.

Register the asset

  1. Go to Admin → Operations → Asset maintenance → Assets.
  2. Tap Add an asset.
  3. Fill in name, type (lift, generator, fire safety, STP, water tank, or custom), location, install date, and warranty expiry date (all except name and type are optional).
  4. Save. The asset appears in your registry, active by default.

Create a maintenance schedule

  1. From the asset's detail page, tap Add schedule.
  2. Contract select an active vendor contract from Procurement Marketplace. No active contracts yet? The form links to Procurement → Contracts set one up there first.
  3. Cadence monthly, quarterly, semi-annual, annual, or custom days.
  4. Repeat from choose whether the next occurrence is based on the planned date or the actual completion date.
  5. Grace period how many days past due before the task counts as overdue.
  6. Owner optionally assign an admin or an internal staff member.
  7. Auto-ticket optionally turn on creating a Helpdesk ticket automatically per occurrence.
  8. Save. The first task appears on the Maintenance Hub immediately.

Tips

  • A schedule's asset and contract can't be changed later create a new schedule instead; the old one stays as history.
  • Archiving an asset with an active schedule is blocked pause the schedule first.

FAQ

Why can't I create a schedule without a contract? It's intentional every schedule must trace to a real, signed vendor relationship. Can I edit the cadence after creating a schedule? Yes, from the schedule detail page.
