When to Use Resident Vault in Your Society

Updated 2026-06-09

When to use resident vault

Use My vault when the document is yours or your flat's, not an official society record the committee publishes for all members. Use the committee Document Vault for bye-laws, AGM minutes, and society-wide financials.

Personal tab — uploader only

ScenarioExample files
TenancyRegistered rent agreement, rent receipts for HRA
IdentityPAN/Aadhaar copies you keep for your own reference (not poll credentials)
InsuranceHome contents or personal policy PDFs
TaxForm 16, property tax paid receipts
MoveInventory lists, handover photos exported as PDF

Do not use personal vault for files the committee must publish to all members — those belong in admin Document Vault once approved.

Flat documents tab — shared with flat or committee

VisibilityWhen to use
Flat residents onlySale-deed copy for co-owners, interior work approvals shared between spouses, tenant checklist for all owners of the flat
Flat + committeeLeave-and-license agreement the secretary must verify, NOC pack for renovation, move-in/out inspection report

Flat files purge on unclaim — ideal for records tied to a specific ownership period, not lifelong personal archives.

When not to use resident vault

  • Poll credential uploads — use the voting credential flow for that election only; files auto-expire after retention rules.
  • Helpdesk ticket attachments — attach inside Helpdesk.
  • Official AGM minutes — admins publish via Document Vault.
