When to use resident vault
Use My vault when the document is yours or your flat's, not an official society record the committee publishes for all members. Use the committee Document Vault for bye-laws, AGM minutes, and society-wide financials.

Do not use personal vault for files the committee must publish to all members — those belong in admin Document Vault once approved.

Flat files purge on unclaim — ideal for records tied to a specific ownership period, not lifelong personal archives.
When not to use resident vault
- Poll credential uploads — use the voting credential flow for that election only; files auto-expire after retention rules.
- Helpdesk ticket attachments — attach inside Helpdesk.
- Official AGM minutes — admins publish via Document Vault.
